Can I retrieve documents from other documents?
Yes – within DocuTrack you can easily retrieve related or cross-referenced documents and drill down to supporting information. Typically related documents are displayed in the queue contents window. Alternatively, you can easily find all duplicates of the document or create a quick search for everything related to the particular document.
Is DocuTrack thick client, thin client or browser based?
DocuTrack is a high-performance browser based application that utilizes the very latest Windows .NET, J2E and SQL Server platforms. While accessed through a browser, it also utilizes ActiveX controls that are dynamically installed on your desktop to provide you with high volume performance. The net result is that you have the best of all worlds. Furthermore, your customers can also access the system to view the status of their orders via the internet.
Does DocuTrack support virtually unlimited custom index fields?
Yes – DocuTrack supports virtually unlimited index fields. Index fields contain data which you attach to each document and provide a mechanism for you to quickly find the information you are looking for. Index fields within DocuTrack can either be free-form text, selected entries from a pre-defined list of items, or a combination of either. All index fields are free-text indexed, allowing you to perform “Google-like” searches to find the exact document you are looking for.
Can I have Multiple Values in an Index Field?
DocuTrack allows you to have multiple values in one index field. This is precisely the technique used by DocuTrack to associate multiple prescriptions with a single document. However, this is not all – the contents of the index fields can automatically trigger external events or exchanged with external systems.
Does DocuTrack integrate with your pharmacy systems?
DocuTrack is the only pharmacy document management system that seamlessly integrates with both your pharmacy and accounting applications. Several years ago Integra created the DirectConnect interface standard which enables you to “drive” DocuTrack from within your pharmacy or accounting application. This interface standard is supported by all the major pharmacy information system vendors and provides a robust and versatile interface without the complexities of screen scraping or transferring data through the clipboard. In addition, since this same interface is used by numerous other DocuTrack customers, you can be assured that it is well tested and supported, with frequent updates as new functionality becomes available.
Must DocuTrack be installed on-site or can it be hosted off-site?
DocuTrack can be installed in your pharmacy or it can be installed in an external data center and accessed via the internet – the choice is yours. Each DocuTrack system, regardless of where it is installed, is remotely monitored by Integra – enabling us to be instantly notified if something occurs that requires our assistance. By installing DocuTrack within your pharmacy you can retain control of your operations without depending on costly high-speed internet access. You will, however have to have some technical expertise. Alternatively the DocuTrack server can be hosted at an external location, enabling you to focus on providing excellent service without worrying about the technical issues. The choice is yours…
Does DocuTrack have a robust, easy-to-configure workflow module?
DocuTrack is a data-driven system designed specifically for pharmacy document management. What this means to you is that you can quickly and easily configure the system according to your business and operational rules. No additional modules are required – workflow is part & parcel of the system, and at each step a full audit trail is kept of who looked at each document and what they did with it.
Does DocuTrack support electronic forms?
DocuTrack supports electronic PDF forms. Existing paper forms can be easily scanned into the system and form-fields added for subsequent use. Your staff or customers can access these forms, complete the required fields, and submit them for processing – all without any paper!
In addition, since DocuTrack uses PDF forms, you have access to the full & complete capabilities of Adobe Acrobat when designing & implementing forms within your pharmacy.
Does DocuTrack support annotations, sticky notes and markup capability?
All documents within DocuTrack are stored using the PDF format and can be annotated using Acrobat. This means you have full & complete access to all the annotation mechanisms supported by Acrobat – text boxes, sticky notes, drawing tools, etc. In addition, whenever an annotation is used you can see when it was made and who made it. You can also create comments on a document and respond to existing comments made by other users.
Does DocuTrack read bar codes?
Bar codes have been around for a long time and DocuTrack can read them. You can use bar codes in the following ways: to automatically associate a document with a particular patient; and to automatically process prescription refills.
Does DocuTrack support optical Character recognition (OCR)?
DocuTrack at present does not support OCR due to the unreliability of this technology in production pharmacy environments.
Can DocuTrack automatically accept printer output?
There is no need to print and then scan – with DocuTrack you can print directly into the system and store it for later retrieval. You can also e-mail DocuTrack with existing PDF files and it will also store and organize these documents.
Does DocuTrack support multiple document types?
DocuTrack supports multiple document types using the PDF file format. The PDF file format is capable of representing all of the common files types that you might want to work with, plus includes integrated annotations and other auditing functions that are not native to some of these other formats. Note that images within PDF files are compressed using either TIFF or JPG, so there is very little space penalty for using the PDF format.
Earlier versions of DocuTrack were based on TIFF files, but we switched to PDF because it was more widely accepted and provided a considerably richer set of base functionality without resorting to proprietary extensions. As an interesting note, future versions of Windows will have native PDF support integrated into the operating system.
Is Integra a re-seller or VAR?
Unlike some other vendors in this marketplace, Integra is an independent software developer which created DocuTrack. We are not a re-seller or VAR. The benefits for you as a customer are numerous – we are significantly less expensive, we can provide you with the very best in personal service, and we are continually working to improve the product based on the needs of pharmacies.
Other vendors in this industry re-sell mass-market document management systems. These systems were designed for other markets and require considerable customization in order to even partially meet pharmacy needs. Also, because of their design, they cannot handle many of the more complicated document management issues that are common-place in pharmacy operations.
Does Integra hold DocuTrack user-group meetings?
DocuTrack user group meetings are held twice each year at ASCP. All users are invited, and this is an excellent opportunity for customers to interact with senior Integra management plus network with other DocuTrack users. The feedback provided at these meetings is instrumental in setting future product direction.
Does Integra provide other document management systems in addition to DocuTrack?
Unlike other vendors, Integra only provides one document management product – DocuTrack. This enables us to focus all our energies to one product line and do so with great efficiency. Integra also produces a delivery management solution called DeliveryTrack. With just two product lines, we are able to maintain a very high level of service and support.
